We are looking for a motivated and organized Legal Assistant in Zurich office. The ideal candidate with various administrative and research tasks, who is detail-oriented, highly organized, and able to manage multiple tasks efficiently. The assistant will handle a variety of legal and administrative tasks, ensuring smooth and effective operations within the legal department, smart thinker, quick learner, humble, able to work under pressure, stress resistant and pro-active with an emotional intelligence.

Key Responsibilities:
Administrative Support:
- Manage and organize Managing Partner’s calendar, schedule appointments, and meetings.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Prepare, proofread, and edit legal documents, contracts, and correspondence.
- Maintain and organize legal files, both physical and electronic.
- Assist in preparing reports, presentations, and other documents as needed.
Legal Research and Documentation:
- Conduct legal research on various topics as directed by the Managing Partner.
- Prepare legal memoranda, summaries, and briefs.
- Assist in drafting and reviewing legal documents, contracts, and agreements.
- Manage and track legal deadlines, ensuring timely filing and submission of documents.
- Liaise with clients, witnesses, and other parties involved in legal matters.
Case Management:
- Organize and maintain a database of case-related documents.
- Coordinate with external legal counsel and other professionals as required.
- Prepare and file legal documents with courts and other authorities.
- Monitor the progress of cases and provide updates to the Managing Partner.
Client Interaction:
- Act as a point of contact for clients, managing communications and ensuring a high level of client service.
- Schedule client meetings and prepare necessary materials for discussions.
- Handle confidential information with discretion and always maintain client confidentiality.
Office Management:
- Order office supplies and manage office equipment as needed.
- Handle billing, invoicing, and expense reports for the accountant department.
- Coordinate Managing Partner’s travel arrangements, including booking flights, hotels, and transportation.
- Assist in planning and organizing events (especially those related to the Swiss Capitalmarketforum), conferences, and meetings.
- Microsoft IT support, e.g. Outlook functions, preparing presentations in PPT, generating documents in Word
- Translate newsletters, website content, and legal documents among English, German, Russian, and French
Qualifications:
Education: Bachelor’s degree preferred; legal assistant/paralegal certification is a plus or willingness to take part in CAS paralegal education.
Experience: Minimum of 5 years of experience as a legal assistant or in a similar role.
Skills:
- Excellent written and verbal communication skills in English and German (Russian and French is a plus).
- Digitally native and passion for digital media. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail and accuracy in work.
- Strong organizational skills with the ability to multitask and prioritize workload.
- Strong knowledge of legal terminology, procedures, and documentation.
- Experience with legal research tools (e.g., Westlaw, LexisNexis) and case management software.
- Discretion and ability to handle sensitive information confidentially.
